Notes

For a gluten alternative, we will prepare any of our pizzas on GF sandwich wraps. NOTE: all of our food is prepared in the same kitchen as we make our dough, and we use wheat flour to dust our pizza peels when we are serving. We make every attempt to clean our areas, peels, and oven floor when cooking GF, there is a possibility of flour contamination. Because of the time it takes to clean our areas, it slows down our regular service. If more than 10 people attending are requesting GF service, additional charges may apply to accommodate additional staff to handle the flow of food. We recommend that an attempt be made to serve those guests requesting GF first.

Additional hours are charged at a rate of $150 per hour for full staff and $75 per hour for half staff.

Additional hours would be assessed if full or half of our staff would be required to arrive early or stay late due to either logistical considerations or added duties (such as cleaning rented plates, etc.)

Policies

Guaranteed Minimum Guest Count & Time Duration

The fees and pricing quoted in this proposal are estimates based on the client’s guaranteed minimum guest count and guaranteed time duration. If more guests are served or the caterer’s services are needed for additional time not included in the client’s estimated time duration, the caterer reserves the right to charge a fair price for the additional food, drink, labor and services required. If fewer guests attend or less time is needed, the caterer will still be paid according to the guaranteed minimum guest count and time duration. Final guest count, not subject to reduction, is due 7 days prior to your event date(s). If you need to increase your guest count, within 5 days of your event date, we will make every effort to accommodate your request.

Deposit

An initial deposit of $250 is required to hold the date. 50% of the final estimated total costs is required at least 90 days prior to the event.

Cancellation

Upon cancellation of the caterer’s services within 31 days of the planned event date, A Wandering Fire will apply the entire balance of your deposits and prepayments, less $500.00 towards another event occurring within 90 days of the original event date. If cancellation notice is given less than 31 days before the event, no refund of the deposit will be supplied.

Cancellation by venue or acts of nature

All prepayments and deposits are forfeited if the event is cancelled by your venue or if acts of nature (i.e. damaging winds, severe storms, etc.) prevent A Wandering Fire from performing your event as agreed. A Wandering Fire will apply the entire balance of your deposits and prepayments, less $200.00, toward another event within 90 days of the original event date, subject to our availability. Additional fees and charges MAY apply.

Cancellation by A Wandering Fire

A Wandering Fire reserves the right to terminate this contract for any reason. If A Wandering Fire terminates this contract over 30 days prior to your event date, all deposits and prepayments will be returned in full within 10 days. If A Wandering Fire terminates this contract within 30 days prior to your event date, all deposits and prepayments will be returned in full within 10 days as well as an additional $500.00 penalty paid by A Wandering Fire.

Payment Methods

All prices quoted are based on a cash/check purchase. Clients wishing to pay with a credit card may be assessed a processing fee of 4% per the amount of transaction. VISA, Master Card, Discover, and American Express.

Terms

Terms for payment of the event are the following:

  1. The quoted final cost, minus the deposit, must be paid by the day of the event.
  2. Any added costs due to higher than minimum guaranteed guest counts, extra services or additional duration of services will be billed to the client within 5 business days after the event, and must be paid within 20 business days after the event.
  3. If payment is not received according to the terms of this contract, the caterer reserves the right to take legal action and charge a fair amount of interest on the final billed amount.

Location Requirements

Please provide space acceptable for A Wandering Fire to park the oven trailer and transport vehicle. Please be aware that it is best for our equipment to park on hard surfaces. We are not liable for damage if requested to park on grass or other soft surface. A Wandering Fire’s pizza makers love to work for an audience and are fun to watch, so consider this when planning your event. Access to an outdoor faucet and electrical power of 110 volt, 20 amp or greater, is preferred for most events.

Food Quantities

A Wandering Fire will prepare between 5% – 10% overage based on the final number of guests we receive from you. Part of this overage is to include feeding our staff. You are not charged for this service.

Menu

A Wandering Fire and the customer will finalize pizza choices and any additional items at least 30 days prior to the event.

Children

Children under the age of 5 are not charged for catering.

Leftovers

A Wandering Fire (or you and or your guests) may package up all cooked pizzas at the end of service. A Wandering Fire will also cook additional pizzas (5-10 depending on supplies) to be boxed for the host at your request.

Clean Up / Trash Disposal

A Wandering Fire will clean all service areas used by A Wandering Fire. Reasonable effort will be made to remove all food and debris from outdoor service area. A Wandering Fire will provide trash receptacles. A Wandering Fire will remove and dispose of all waste generated by A Wandering Fire’s services. A Wandering Fire will not be responsible for clean up of dining areas, third party equipment, or tableware not provided by A Wandering Fire, unless expressly stated in proposal.

Damage

A Wandering Fire assumes no responsibility for ANY damage or loss of any merchandise, alcohol, equipment, furniture, clothing or other valuables prior to, during or after the event. We will do everything possible to ensure that all of your supplies, rentals and equipment are cared for and maintained in good working order and without any damage.

A Wandering Fire Liability

A Wandering Fire’s only liability, for third party claims, will be for actions caused by A Wandering Fire and/or the negligent conduct of it’s employees.

Third Party Liability

A Wandering Fire assumes no responsibility for the conduct of guests, members and third parties hired to provide services.

Insurance

A Wandering Fire maintains general, automobile liability Insurance, as well as commercial liability insurance.

Unlawful Activities

The client will comply with all the laws of the United States and of the state within which the event is taking place, all municipal ordinances and all lawful orders of police and fire departments, and will not do anything on the premises in violation of any laws, ordinances, rules or orders. If unlawful activities are occurring on the premises, and event is cancelled, there will be no refund of any kind from A Wandering Fire to client.
